Yeah, things have definitely changed, haven't they?

Definitely. I think it was about a year or two ago. I was on a train trying to get ready for this client call and I was really scrambling for information, like where is everything? And it just it just hit me like there has to be a better way. And that's when we started, you know, really looking into mobile CRM. So tell me, like, what makes it so important in this new, you know, everybody working from home world?

Well, mobile CRM basically puts all the information that you need you know, home world. Well, mobile CRM basically puts all the information that you need.

You know contact history, project updates you know, even like little things, like a client's birthday, at your fingertips, so I don't have to be, like you know, frantically searching for my notes or whatever like right before a call. Exactly, that's great. But you know, when I think about CRM, I usually think of like this big complicated system. And so how is mobile CRM any different?

Speaker 2:

Well, they're designed specifically for mobile devices, so they're really easy to use.

Okay.

And a lot of them have like really intuitive interfaces, you know.

Speaker 1:

So it's less about spending time on data entry and more about, like, giving me insights that I can actually use. Right, right.

Speaker 2:

Like. Imagine you're wrapping up a client meeting.

Speaker 1:

Right.

Speaker 2:

And your CRM prompts you to schedule a follow up. You know, make some notes, set reminders for anything you promise to deliver. You know all while that meeting is still fresh in your mind.

Oh, that's cool. So it's like having like a little assistant in my pocket, basically, exactly OK. So let's say I have a name, you know we're all working remotely. How does this help with collaboration and making sure everyone's on the same page?

So any change that anyone makes it updates for everyone in real time.

That's amazing. So I have to admit, you know, I'm starting to think like I'm missing out here. You know I think of CRM as just for salespeople, but it seems like this could be useful for anyone who works with clients, right, absolutely Like even freelancers, or Especially freelancers and entrepreneurs. Okay, yeah.

Speaker 2:

Because a lot of them have like lead scoring and stuff built in. Oh, okay, so it helps you prioritize those high value prospects.

Speaker 1:

That makes a lot of sense. So can you give me some like specific examples of you know how all these features actually help busy entrepreneurs like?

Speaker 2:

myself in real life, sure Like. Imagine you're at a conference and a client needs urgent help. Okay, you could instantly pull up their entire history on your phone, you know, see past interactions, access key documents, all without having to open your laptop.

So it's like I have, you know, all my files with me at all times. That's really cool. So what other features stood out to you when you were going through?

Speaker 2:

all this research. Well, a lot of them have really powerful personalized communication features. Oh hey, like your CRM could automatically send a birthday message to a client or remind them about an upcoming renewal.

Wow, I never even thought of that. That's really smart. But doesn't that kind of make things feel like impersonal, like robots sending messages for me?

Well, you know, it can be really tempting to just go for the one with all the bells and whistles.

But it's actually more important to choose one that's a good fit for you know your specific needs.

Okay, and how you work. So how do we like figure that out? What kind of questions should we be asking?

Speaker 2:

Well, first of all, think about the size of your team and how you guys collaborate. Like do you need it to do? You need to integrate with other tools like your email or project management software. Are reporting features important to you?

Speaker 1:

Yeah, for me definitely having a system that's like really user friendly is important you know, because not everyone on my team is super tech savvy.

Speaker 2:

Yeah, that's huge. You don't want to spend like hours trying to figure out how to use the thing.

Speaker 1:

Right, exactly.

Speaker 2:

And you know, there are also CRMs that are specifically designed for certain industries.

Speaker 1:

Oh right.

Speaker 2:

Like real estate or health care.

Speaker 1:

So it's like it already has all the features that I need built in.

Speaker 2:

Yeah, Like a real estate CRM might have features for managing you know, property listings Right and a health care CRM might focus on like patient records.

Speaker 1:

That makes sense, yeah, but what if I'm like a freelancer, you know, and I have like different kinds of clients? Would I be better off with like an all-in-one CRM?

Speaker 2:

Yeah, an all-in-one CRM might be a better fit for you. Okay, because it's designed to cover pretty much every aspect of client management. Okay, you know, from lead generation all the way to customer support.

Speaker 1:

So it's like one system for everything.

Speaker 2:

Exactly.

Speaker 1:

Okay, so now we've kind of narrowed down like the type of CRM that we need, but what about actually getting it set up and running? I feel like there's got to be more to it than just like downloading an app.

Speaker 2:

Oh yeah, for sure. You really need to have a plan for implementation, you know. Think about how you're going to migrate your data.

Right.

Speaker 2:

And, most importantly, training your team.

Speaker 1:

So just because the system is easy to use, it doesn't mean that everyone's going to know how to use it right away.

Speaker 2:

Exactly. I mean, I remember when we tried to implement a new project management tool at yeah. At my last company, we didn't really do any training and it was a total disaster.

Speaker 1:

I've been there, yeah. What about, you know, connecting it to all the other tools that we use?

Speaker 2:

Yeah, integration is super important.

Speaker 1:

Right.

Speaker 2:

Because you want all your systems to be talking to each other.

Speaker 1:

Right.

Speaker 2:

So you know, like if you schedule a meeting in your CRM, it should automatically show up in your calendar, or if you send an email, it should be logged in the client's history in the CRM.

Speaker 1:

So it's all connected Exactly Okay. So we talked about choosing the right type of CRM, implementation, training, integration. Is there anything else we need to think about? Well, security is a big one, oh right, especially because we're dealing with client information.

Speaker 2:

Exactly. You want to make sure that your CRM has strong security features like data encryption, two-factor authentication, things like that.

Speaker 1:

And I guess also Like the vendor, the company that makes the CRM has a good track record.

Speaker 2:

Right, we don't want to be giving our data to just anyone.

Speaker 1:

Exactly so do your research. Look for companies that have a good reputation, good customer support.

Speaker 2:

So it's like, it's like anything else you know, do your due diligence before you buy.

Speaker 1:

Exactly.

Speaker 2:
